Skills and skill groups
How to create skills and skill groups, the building blocks of your schedule, and how each setting works.
A skill is a type of work that you give to an employee in the schedule, such as phone, email or coaching. Breaks, leave and illness are skills too. Skills belong to one location.
Creating a skill
- Go to Skills and click New skill.
- General block: enter a Name and choose a Colour. Use View existing skill colours to avoid duplicate colours.
- Choose the Type: Regular for normal work, or Leave, Illness or Break.
- Planning block: optionally choose a Skill group and the Priority for generating shift templates.
- Staffing block: set the switches correctly (see below).
- Click Create.
What do the settings do?
- Unpaid break (only for Break): the break time does not count as paid working time. Use this for lunch, for example.
- Priority for generating shift templates: from Very low to Critical. Skills with a higher priority are scheduled first.
- Enable this skill for newly registered employees: new employees get the skill automatically. Existing employees do not; you give them the skill in their profile.
- Available in staffing templates: the skill appears in the staffing template. There you specify per quarter of an hour how many people you need.
- Exclude from headcount: anyone with this skill does not count towards the total number of people present. Useful for leave, for example.
- Locations (only if you have work locations): only employees at those work locations can get the skill.
Skill groups
With a skill group, you set the staffing for several skills together, for example all phone work.
- Go to Skills > Manage skill groups and click New skill group.
- Enter a Name and Colour. Turn on Available in staffing templates if you want to set the staffing for the whole group.
- Click Create.
- Link skills to the group from the skill itself, with the Skill group field.
Good to know
- Under Sort order, use Pin skill to put skills at the top. The rest are listed alphabetically.
- Must a skill always be staffed? Set the priority to Critical, turn on Available in staffing templates and fill in the staffing template.
- If you turn off Available in staffing templates, the staffing template filled in for that skill is erased. Turning it back on does not restore it.
- Only delete a skill if it has never been used. Deleting the skill also removes all schedule blocks with that skill, including past ones, as well as its assignments to employees, the schedule changes and the staffing template for that skill.
- Whether a skill counts for adherence is set in the connection. Under Status mappings, choose the Skills counted as adherent for each status. A skill you do not tick anywhere, such as front desk work, is not measured.
