Managing accounts: rights, inviting, deactivating and deleting
How to give rights, send invitations and deactivate or delete accounts in Account management.
In Account management, you decide who may log in to Teamlead and what they may do. Only an account manager can do this.
Two kinds of rights
- The employee type, per location:
- Administrator: planner or team lead. Schedules, reviews leave and manages the skills, employees and settings of that location.
- Regular: employee. Sees the schedule and requests leave.
- External: external employee. Only available if external employees are turned on for your organisation.
- The dash: no access to that location.
- Account manager (the Administrator switch), for the whole organisation. Only an account manager can create accounts, change rights, import employees and deactivate or delete accounts.
Someone can be Administrator at one location and Regular at another. An account manager is not automatically an administrator of every location. Account management is in the gear menu, and you only see that menu at a location where you are Administrator. So choose such a location first.
Changing rights
- Click the gear icon at the top right and choose Account management.
- Open the account. A shield next to the name means: account manager.
- In the Access & type block, turn the Administrator switch (account manager) on or off.
- Under Employee type, choose the type for each location.
- Click Save.
You change the name or email address in the same screen, in the Account details block.
Inviting
Open an account marked Inactive and click Send invitation. Under Invite employee to log in with, choose Password or Single sign-on and click Send invitation. If an option is greyed out, that login method is not turned on for your organisation.
Deactivating
At the bottom of the account, click Deactivate account and then Deactivate. The person can no longer log in. The profile and schedule remain, and automatic scheduling still schedules the person as normal. So also fill in To (optional) in the profile. You reactivate an account with Send invitation.
Deleting
At the bottom of the account, click Delete account and then Delete. The personal data is permanently erased and the employee is no longer scheduled from today. Open and future leave requests disappear. The old schedule is kept and shows Deleted employee. You cannot undo this: if you deleted someone by mistake, create the employee again. You cannot delete your own account.
Good to know
- If you set a location to the dash, the profile at that location disappears. All of that person's shifts at that location also disappear, including past ones. Should someone just no longer be scheduled? Then fill in To (optional) in the profile.
- With SSO, your IT department manages who has access. You give administrator rights in Account management.
- Is a former colleague coming back? The account still exists. Turn off Show active accounts only, find the account and send an invitation. Clear To (optional) in the profile.
Not working?
- Does someone see You are not yet linked to a location. Contact your environment administrator. after logging in? Give the account an Employee type at one location or more.
- Is an invitation not arriving? Read I am not receiving an invitation or reset email.
