Continuous scheduling and publishing

With continuous scheduling, you plan each date on the schedule page and decide yourself up to which date employees can see the schedule.

If your location uses continuous scheduling, you create the schedule directly on the Schedule page, without shift templates. You work ahead in a draft and publish up to a date you choose. Teamlead turns on continuous scheduling per location.

How it works

  • Employees can see the days up to and including Published until. Later days are a draft.
  • On a draft day, the top of the page shows: This date is not published yet, so employees cannot see it.
  • On a draft day you also see employees without a skill by default, so you can spot gaps quickly.
  • Changes on a draft day do not appear under Schedule changes, and employees do not get an email about them.
  • Changes on a published day do appear under Schedule changes. You choose whether employees get an email (see Notifying employees about schedule changes).

Filling the schedule

  1. Link a staffing template: in the schedule, open the actions menu (three dots) and choose Staffing templates. Choose the Staffing template, fill in Applies from and click Save.
  2. Fill the draft days with Automatically fill in the actions menu (see Automatically fill), or schedule by hand (see Editing the schedule).
  3. Check the result and click Save.

Publishing

  1. Above the schedule, click Published until: with the date after it.
  2. The Publish schedule window opens. In Published until, choose the new date.
  3. Click Save. You see Published successfully.

Good to know

  • Employees do not get an email when you publish. They see the new days automatically in their schedule and on their dashboard. Let them know yourself that the schedule is ready.
  • Do you set the date earlier than it was, or clear it? Then you see the warning Employees will no longer see these dates. Confirm continues, Previous takes you back.
  • Your own edits stay in place when you fill automatically later.
  • On the schedule page, Generate breaks only works for published days. On draft days, Automatically fill schedules the breaks.
  • Work ahead: plan the coming weeks as a draft, check the staffing and only publish when it is right.
