Making a bulk change
Assign the same skill to several employees or across several days in one go, for example a week of sick leave or a regular meeting.
With a bulk change you do not have to edit each shift separately. This is useful for sickness, a team meeting, a daily kick-off or a training session.
How to do it
- Go to Schedule, open the actions menu (three dots) and choose Bulk change.
- Under Period, enter the dates in From and To. Does the change start or end partway through a day, for example when someone reports sick at 13:00? Then also choose a time. Otherwise the whole day applies.
- If needed, enter the time slot per day in Time, for example 09:00 to 09:30 for a daily kick-off.
- Without Repeating, the change applies to every day in the period. Only on fixed days? Turn on Repeating and choose every how many weeks and on which days.
- In Skill, choose the skill. Choose Off to clear shifts in that period.
- In Employees, choose who the change applies to.
- Leave Only within standard working times on if the change may only fall within the employees' working times.
- Click Next. Teamlead calculates the changes and shows the result.
- Check the result and click Apply. Then click Save in the schedule.
Good to know
- The Employees list only shows employees who are employable today. Schedule an employee who starts later by hand.
- A bulk change does not take breaks into account. Check the breaks afterwards and use Generate breaks if needed (see Scheduling breaks).
- After saving, the changes on published days appear under Schedule changes.
- Does something recur every week at the same time? Then put it in the shift template. There, too, you find Bulk change in the actions menu; you then choose Days from the pattern instead of a period.
- On a holiday set to Show and clear schedule, a bulk change does not add anything.
- Mandatory days off, such as a Christmas closure: make a bulk change with a separate skill, or make it a holiday via Settings > Holidays with Show and clear schedule (see Settings: general, breaks, holidays, work locations and shifts).
Not working?
- Saved the wrong bulk change? Go to Schedule changes, filter on the period, tick the rows and choose Delete (see Viewing and undoing schedule changes). This works for published days.
