Editing the schedule

Edit the day schedule by painting, moving, extending or clearing skills, and then save your changes.

On the schedule page you handle one-off changes, such as someone calling in sick, a moved shift or extra staff when it is busy. Permanent changes belong in the shift template (see Edit the shift template or create a new one?).

How to do it

  1. Go to Schedule and choose the day with the day buttons or the calendar. Do you work for more than one location? Then first choose the right location at the top right.
  2. In Select a skill, choose the skill you want to schedule.
  3. Drag across the employee's quarter-hour cells. Hold down Shift to paint across several employees at once.
  4. Want to clear something? Choose Off in Select a skill and drag across the cells.
  5. Click Save (or Ctrl+S, Cmd+S on a Mac). You see a list of all your changes.
  6. Leave the Send notifications to the affected employees tick box on if employees should get an email straight away (see Notifying employees about schedule changes). Click Save again. You see Saved successfully.

Other actions in the grid

  • Move: drag a skill to a different time or a different employee.
  • Make longer or shorter: drag the edge of a skill.
  • Change or clear: right-click a skill. Choose a different skill or Clear shift.
  • Made a mistake? Use Undo and Redo, or Ctrl+Z and Ctrl+Shift+Z.
  • The info icon How the grid works shows all controls and keyboard shortcuts.

Good to know

  • Your changes are only kept after you click Save. If you click away or close the browser, you lose them. As long as you have not saved, you see There are unsaved changes.
  • The schedule works in 15-minute blocks, within the location's opening hours. A shift past midnight is not possible. Teamlead sets the opening hours; email support@teamlead.io if they need to be different.
  • If someone is also scheduled at another location at the same time, you get a warning.
  • By default, you do not see employees without a skill on that day. Open the filter at the top right and, under Skills, also tick Off.
  • Solving understaffing or overstaffing: in the staffing bar above the schedule, click a quarter hour and then a skill. Teamlead suggests solutions, such as Option 1. Click an option and then save.
  • Colleagues who already have the schedule open only see your change after they refresh the page.

Not working?

  • Are several administrators working in the same schedule? Refresh the page before you start. If two administrators change the same time slot of the same employee, whatever was saved last is kept.
  • Does There are unsaved changes stay visible after saving? Check your internet connection and click Save again. If it happens more often, email support@teamlead.io.
