Requesting or deleting leave on behalf of an employee
This is how you enter leave for an employee, and how you delete leave including the schedule, leave balance and AFAS.
Does an employee report leave verbally or by email? Then you enter the request yourself. If the leave is not going ahead, you delete the request and Teamlead undoes everything.
Requesting leave on behalf of an employee
- Go to Leave requests and click New leave request.
- Under Employee, choose the right person. Only administrators see this field.
- Under Period, fill in the From and Up to and including fields.
- Is it for part of the day? Switch on Leave for part of the day and choose a Start time and End time.
- Optionally enter a Note and click Create.
- Then process the request like any other request (see Reviewing and processing leave requests).
Deleting leave
- Open the request and click Delete.
- The Delete leave request window shows what Teamlead will undo:
- Schedule: the leave shifts disappear. The employee gets the original shift back or is set to Not scheduled.
- Leave balance: the deducted hours are returned.
- AFAS: Will be removed from AFAS or Will stay in AFAS. In the latter case, switch on I will remove these records from AFAS myself.
- Click Delete in the window.
Good to know
- An employee can only withdraw a request themselves if it has not been reviewed yet. If it has already been reviewed, you have to delete it.
- Deleting is all or nothing. If one part fails, for example in AFAS, nothing changes.
- If nothing has been processed yet, you see Nothing was applied, so nothing will be undone.
- If the leave overlaps with another request, you get a warning.
Not working?
- End date must be on or after the start date or End time must be after start time: check the dates and times.
- Leave that has already started cannot be deleted.: adjust the remaining part in the schedule yourself (see Editing the schedule). Correct the balance with an adjustment if needed (see Viewing and adjusting leave balances).
- Is the request still awaiting approval in AFAS? Then Teamlead cannot remove it from AFAS and it is listed under Will stay in AFAS. Switch on I will remove these records from AFAS myself, delete the request and then remove it from AFAS yourself.
- AFAS does not allow this action. Contact your AFAS administrator.: the AFAS connection is not allowed to delete leave. Ask your AFAS administrator to adjust the permissions (see Connecting AFAS for leave).
