Importing shifts from a CSV file
Add shifts for external employees to the schedule in one go from a CSV file, for example a schedule from a staffing agency.
Are shifts already in another system or file? With Import shifts you add them to the schedule in one go, without retyping everything.
Before you start
- Teamlead turns this feature on per location. Can't see Import shifts in the actions menu? Then email support@teamlead.io.
- The import is for external employees. It does not work for other employees.
- As well as being an administrator, you also need the account manager role, because the import can create employees.
- Create a CSV file, separated by semicolons or commas. The first line is a header row. Below it come six columns in this order:
| Column | Format |
|---|---|
| Date | dd-mm-yyyy |
| First name | text |
| Last name | text |
| Email address | unique per employee |
| Start time | HH:MM |
| End time | HH:MM |
In the import window, you can download an example file via Example.
How to do it
- Go to Schedule, open the actions menu (three dots) and choose Import shifts. The Import shifts window opens.
- In File, choose your CSV file and in Skill, the skill that all shifts get. Click Next.
- For each email address in the file (Email in import) you see a drop-down list. If an employee with that email address already exists, they are selected. Otherwise choose an existing external employee, Create new... for a new employee or Skip... to skip those rows. Click Next.
- In the Verify shifts window you see the shifts per employee and date. Click Apply.
- Click Save in the schedule.
Good to know
- Teamlead schedules breaks in every shift according to the break settings.
- An imported shift replaces whatever that employee already had in that time slot.
- A new employee from the import gets the type External and no invitation yet. You can find them in Account management and on the Availability page.
- Teamlead already creates new employees in step 3. The shifts are only fixed in the schedule after Save.
- Watch out for typos in email addresses. A wrong address results in a proposal for a new employee. Then choose the right employee or Skip....
