Adding day notes

Add a short announcement to a day in the schedule, once or every week, for everyone or only for certain employees.

With a day note you share a short announcement for a date, such as "Team meeting 10:00" or "Engineer in the office". Employees see the note above the schedule and on their dashboard.

How to do it

  1. Go to Schedule and choose the day.
  2. Open the actions menu (three dots) and choose Write day note.
  3. Type your text in Note (maximum 100 characters).
  4. Should the note come back every week? Turn on Recurring. In Day of the week, choose one or more days and fill in Valid from. Leave Valid to empty if the note should stay indefinitely.
  5. Is the note only for a few people? Turn on Select specific employees and choose the employees.
  6. Click Create. You see Created successfully.

Changing or deleting a note

Click the note in the schedule. Change the text or the settings and click Save. You see Updated successfully. Want to remove the note? Click Delete and confirm by clicking Delete again. You can turn a single note into a recurring one and the other way round.

Good to know

  • Without a selection, everyone at the location sees the note. A note for specific employees is only seen by those employees and the administrators.
  • You can recognise a recurring note by the repeat icon.
  • Are there several notes on one day? Use Order to decide which comes first (lowest number first).
  • Employees do not get an email about a day note. They see it when they open the schedule or their dashboard.
  • In the schedule you only see notes for the selected location. On the dashboard, an employee sees the notes for all their locations.
  • A note does not change anything in the schedule or the staffing.
  • You cannot add day notes in a shift template. Use a recurring note in the schedule instead.
  • Holidays are also shown above the schedule, as a grey label. You set them up via Settings > Holidays.
