# Importing employees from Excel

## How to add many new employees to Teamlead at once with the Excel example file from the app.

Do you have many new employees? Then import them in one go from an Excel file. Only an account manager can import.

### How to do it

1. Under **Location** at the top right, choose the location where the employees will work.
2. Go to **Employees**, open the table's action menu and choose **Import employees**.
3. Under **File**, click **Example** to download the example file.
4. Fill in one row per employee. Leave the first row with the column names in place.
     - Columns A, B and C: first name, last name and email address.
     - Column D, the type: **Administrator**, **Regular** or **External**.
     - Column E, the invitation: **None**, **Log in with password** or **Log in with single sign-on**. This column must be filled in.
5. Choose the file and click **Next**. You see the **Creating employees** overview with all rows.
6. Is everything correct? Click **Next** again.
7. Send the invitations: in **Account management**, open each account and click **Send invitation**.

### Good to know

- The import does not send any invitations itself, even if you choose a login method in column E. The accounts stay inactive until you invite them.
- Always use the example file from the app. An older template with columns for locations, dates or skills does not fit.
- Capital letters and spaces do not matter. Do write the words in columns D and E in the language in which you use Teamlead.
- **External** is only possible if external employees are turned on for your organisation.
- A row with an empty first column is skipped.
- You import to one location. If someone works at more than one location, add those afterwards in **Account management**.
- Imported employees get the default skills and default work times. Then fill in the rest per profile.
- The import only creates new employees. You change existing employees in their profile.

### Not working?

The import stops at the first error and then creates no one at all. Adjust the file and try again.

- **Could not load Excel file**: the file is not a valid .xlsx file.
- **Email address contains an unknown domain**: the email domain is not allowed for your organisation. Email support@teamlead.io.
- **A user with this email address already exists**: this person is already in Teamlead.
- **Unknown profile type** or **Unknown invitation type**: check the spelling in column D or E.
- **Could not process the profile import**: often a required cell is empty.
