# Flexible tasks

## Schedule work that needs a number of hours per day or week but not at a fixed time, such as email or back office.

Some work has to be done, but the time does not matter. You set up such a skill as a flexible task: you only state how many hours are needed per day or per week.

### Staffing template or flexible task?

- Staffing template: you state per quarter hour how many people you need on a skill. Use this for work at a fixed time, such as the phones during opening hours.
- Flexible task: you only enter the number of hours per day or week. Teamlead finds a suitable time itself.

### How to set up a flexible task

1. Go to **Staffing templates** and open the staffing template.
2. Open the actions menu (three dots) and choose **Flexible tasks**.
3. Click **Add flexible task** and choose the skill in **Skill**.
4. In **Min. hours**, enter the minimum number of hours needed.
5. In **Frequency**, choose **Daily** or **Weekly**.
6. In **Allowed days**, choose on which days it is allowed. If you leave this empty, **Any day** applies.
7. Click **Save** in the row. The flexible task is saved immediately; you do not need to save the staffing template separately.

### How Teamlead schedules flexible tasks

With **Automatically fill** and **Generate automatically**, Teamlead schedules the fixed staffing first. Then come the flexible tasks, in the hours when more than enough people are scheduled. Teamlead only gives a flexible task to employees who have that skill on their profile.

### Progress in the schedule

At the top left of the schedule is the **Flexible tasks** block. There you see per skill how many hours have already been allocated and how many are still needed, for example "3 h to go". Once the minimum has been reached, it shows **Complete**.

### Good to know

- With **Weekly**, Teamlead counts the minimum over the whole period you fill, not per week. So fill one week at a time, so that each week gets its hours.
- You can also open **Flexible tasks** via the actions menu on the **Staffing** page.
- Work that has to be done every month around a fixed date cannot be set up as a flexible task. Schedule it by hand in the schedule, or indicate on the **Staffing** page that you need an employee for that date.
